Investor Quick Start Guide

A quick start guide for Vanilla investors: accessing Vanilla, completing your questionnaire, and signing.

Vanilla is best experienced on a desktop or laptop using one of the following browsers:

  • Google Chrome

  • Microsoft Edge

  • Firefox

  • Safari

Tip: Avoid using mobile devices or tablets for the best experience. Also, if you have autofill turned on, please be careful that you check what it is filling before submitting to ensure accuracy.


Step 1: Access Vanilla and Log In

You’ll receive an email from [email protected] or directly from your fund. Look for a button labeled “Start Subscription” or an invitation link.

  1. Click the Start Subscription button or link.

  2. Enter the email address associated with your subscription.

  3. Follow the prompts:

    • If it’s your first time, you’ll receive a one-time verification code via email.

    • If you’ve already created a password and set up multi-factor authentication, you can log in with your existing credentials.

  4. You may be asked to confirm your role:

    • Signatory (required to sign documents)

    • Non-signatory


Step 2: Complete the Investor Questionnaire

Accessing the Questionnaire

  • If you logged in with a one-time code, you’ll go straight to the questionnaire. NOTE: If you would like to re-use your information from a past subscription. You must have created an account, and you will need to sign in to that account to re-use.

  • If you logged in with a password, click “Start Subscription” or “View Subscription” to begin.

Filling Out the Questionnaire

  • Use the navigation buttons at the top right or the menu on the left to move through the form.

  • Re-using your Information: If you have signed in with an account that you set up after a prior subscription. On the very first page of the questionnaire, you will see a blue button at the top that says, "Re-use Information from Previous Fund". You will be able to select a past subscription and re-use a majority of the information from that subscription to help expedite completion.

  • In the “Signatories” section you can designate a signatory or multiple signatories.

    • For Joint Individuals, both parties must be listed.

    • Only add signatories who are legally required to sign.

    • When viewing the questionnaire as an Individual investor who has already self-identified as the signatory, you will not see the signatory page in your questionnaire.

Adding Delegates

  • In the “Manage Delegates” section, you can add individuals to help complete the questionnaire or access documents post-closing.

  • Delegates will receive an email invitation to register.

  • A user can only have one role per subscription: either signatory or delegate.

Uploading Tax Documents

  • You may see a “Tax & AML” section in your questionnaire prompting you to upload a tax form or other documents in PDF format:

    • Form W-9 for U.S. investors

    • Form W-8 for non-U.S. investors

  • You can also complete and sign a blank W-9 directly in Vanilla.

  • For Joint Individuals, upload both tax documents as a single PDF.

Note: Uploading tax forms does not require re-signing your subscription documents.

Final Step: Review and Confirm

  • On the “Review and Confirm” page:

    • Signatories will see a “Proceed to Signature” button.

    • Delegates will see a “Send to Investor for Signature” button to notify signatories.
